Sales Quote Table Bookmarks

Use Sales Quote table bookmarks when the Word template should control the columns, column order, widths, borders, fonts, and other table formatting. Velosity copies a prototype row from the template and fills it with quote charges.

This option supports one combined charge table or separate labor and material tables. Templates that use the existing LINEITEMS1, LINEITEMS2, MATERIALS1, or MATERIALS2 bookmarks continue to work.

Create a table

  1. In Microsoft Word, add a table with a header row and one prototype data row.
  2. Format both rows as they should appear in the generated quote.
  3. Place the cursor anywhere inside the table.
  4. Select Insert > Bookmark.
  5. Add one of these table bookmarks:
Layout Table bookmark Rows included
Combined charges SQ_CHARGES Troubleshooting, repair labor, and material
Labor only SQ_LABOR Troubleshooting and repair labor
Material only SQ_MATERIALS Material
Quote totals SQ_TOTALS Subtotal, discount when applicable, and total

Assign columns

In the prototype row, select text inside each cell and add the bookmark that identifies the value for that column. Column order is flexible, and a table can omit values it does not need.

For a combined table, use:

Value Cell bookmark
Charge type SQ_CHARGES_TYPE
Quote position SQ_CHARGES_POSITION
Part number SQ_CHARGES_PART_NUMBER
Customer-facing description SQ_CHARGES_DESCRIPTION
Quantity SQ_CHARGES_QUANTITY
Labor hours SQ_CHARGES_LABOR_HOURS
Labor rate or material unit price SQ_CHARGES_UNIT_PRICE
Extended price SQ_CHARGES_EXTENDED_PRICE

Use the same suffixes with SQ_LABOR, SQ_MATERIALS, or SQ_TOTALS for the other table layouts. Examples include SQ_LABOR_LABOR_HOURS, SQ_MATERIALS_PART_NUMBER, and SQ_TOTALS_EXTENDED_PRICE.

When the document contains only one new Sales Quote table, its cells may instead use the generic SQ_ROW_ prefix, such as SQ_ROW_DESCRIPTION. Table-specific prefixes are recommended because Microsoft Word requires each bookmark name to be unique within a document.

How the prototype row is selected

Velosity finds the table from its table bookmark. Within that table, the first row that contains any recognized cell bookmark becomes the prototype row. All recognized cell bookmarks used for that table must be in the same row; recognized bookmarks in other rows are ignored.

For every applicable quote charge, Velosity clones the prototype row, preserves its cell and row formatting, fills the bookmarked columns, and prevents the populated row from splitting across pages. It then removes the original prototype row. The first row of the table is treated as the repeating header.

Word bookmark requirements

  • Create actual bookmarks with Insert > Bookmark. Typing a bookmark name into a cell does not assign the column.
  • Bookmark names can contain letters, numbers, and underscores, but no spaces.
  • Each bookmark name can appear only once in a Word document.
  • Put all cell bookmarks for a table in one prototype row.
  • Do not add legacy and new table bookmarks to the same area unless both outputs are intended.

After saving the .docx, upload or replace it under Administration > Document Templates, then preview a Sales Quote PDF to verify the rows, totals, and page breaks.

See Sales Quote Document Templates for placeholders and the existing generated-table options, or return to Document Templates.
